Code of Conduct and Terms

Last updated 03 September 2026

1. Code of Conduct

Everyone at Sabarmati MUN, delegates, Executive Board members, press, organizers, faculty and guests, is bound by this code from the moment they register to the moment the conference closes.

1.1 Conduct in committee

  • Argue with the position, never with the person holding it. A portfolio is an assignment, not an identity.
  • Content that demeans any person or group on the basis of religion, caste, gender, sexuality, disability, region, language or nationality is out of order regardless of whether a portfolio might plausibly hold that view.
  • Plagiarised position papers, resolutions or press submissions result in disqualification from awards and may result in removal from committee.
  • Artificial intelligence tools may be used for research. Submitted work must be your own. The Executive Board may ask you to defend any part of what you submitted.
  • Directives, communiqués and press pieces stay inside the simulation. Do not carry a committee dispute onto social media.

1.2 Conduct at the venue

  • Harassment of any kind, including unwanted physical contact, persistent unwanted attention, photography of a person who has asked not to be photographed, and targeted intimidation, results in immediate removal without refund.
  • Alcohol, tobacco, controlled substances and any form of intoxication are prohibited at the venue and at all conference events, including the social evening.
  • Damage to the venue or to property is charged to the individual responsible.
  • Delegates below the age of eighteen remain the responsibility of their accompanying faculty or guardian outside session hours.
  • Identification badges must be worn and are not transferable.

1.3 Reporting

Any concern may be raised with any member of the Secretariat in person, or in writing to sabarmatimun@gmail.com. Reports are handled discreetly. Where a matter involves a minor or a criminal offence, the conference will involve the accompanying institution or the appropriate authority, and we will not promise confidentiality we are not able to keep.

2. Registration and Allotment

  • Registration is confirmed only when the delegate fee has been received in full.
  • Committee and portfolio allotment is at the discretion of the Secretariat. Preferences are considered and are not guaranteed.
  • Allotments are communicated within seven working days of a completed delegate form being submitted. See clause 4.3.
  • The full allotment list is published one day before the conference.
  • Registration is personal to the delegate named on it. A place cannot be transferred, substituted, sold or nominated to another person under any circumstances, including illness, examinations, travel disruption or unavailability.

3. Cancellation and Refunds

3.1 If you withdraw

The delegate fee is non-refundable once registration is confirmed. A place cannot be cancelled, deferred to a future edition, transferred to another person, or exchanged for credit. This applies regardless of the reason for withdrawal. Please be certain of your availability before you pay.

3.2 If we cancel

If Sabarmati MUN does not take place, every delegate fee is refunded in full together with simple interest at 8% per annum, calculated on the number of days between the date your payment cleared and the date the refund is initiated.

Where cancellation is caused by circumstances entirely outside our control, including government restriction, natural disaster, civil disturbance or a directive from the venue or a public authority, the principal amount is refunded in full. Interest under this clause is paid at our discretion in those circumstances, and we will state publicly which case applies and why.

4. Our Commitments and How Compensation Works

The commitments below are binding on us. Compensation is calculated as simple interest at 8% per annum on the delegate fee paid, for each day of delay, and is credited to the account from which the fee was received. You do not need to claim it.

4.1 Formula

Compensation = Fee × 0.08 × (number of days of delay ÷ 365), rounded to the nearest rupee. Part days are counted as whole days in your favour.

4.2 Study guides

Study guides for all six committees will be published on 11 September. If publication is delayed, every delegate registered on or before 11 September is compensated for each day between 11 September and the date of actual publication.

4.3 Allotments

Committee and portfolio allotment will be communicated within seven working days of a completed delegate form being submitted. If we are late, compensation accrues for each day beyond that period. Working days exclude Sundays and gazetted public holidays in Gujarat.

4.4 Limits

Compensation under clauses 4.2 and 4.3 accrues until the obligation is met or until the first day of the conference, whichever is earlier. These clauses apply to the delegate fee only and do not extend to travel, accommodation or any other expense.

5. Conduct of the Conference

  • UN committees are run in accordance with UN4MUN and UNA-USA rules of procedure. Indian committees follow the procedure of the houses they simulate. Rules are circulated in advance.
  • Awards are limited to those published on the committees page. The Executive Board may award fewer than the maximum, and may award none where the standard has not been met.
  • Score sheets for every committee are published seven days after the conference closes.
  • Decisions of the Executive Board within committee are final. Concerns about the conduct of a chair should be raised with the Secretariat rather than contested on the floor.

6. Media and Privacy

  • Photography and video are taken throughout the conference and may be used in our publications, website and social media. If you do not wish to appear, tell the International Press team or any organizer and we will honour it.
  • Information collected through registration is used only to run the conference and to contact you about it. It is not sold or shared with third parties for marketing.
  • Score sheets are published with delegate names and portfolios. If you would prefer your score to appear under portfolio alone, write to us before the conference begins.

7. Anti-disparagement

By registering you agree not to publish or broadcast false, misleading or knowingly damaging statements about Sabarmati MUN, its Secretariat, Executive Board, Organizing Team, partners, sponsors or venue, in any medium.

This does not restrict honest criticism, a fair review of your experience, or any report you are legally entitled to make. It restricts fabrication and deliberate misrepresentation, and it applies equally to us: we will not publish anything false or disparaging about a delegate, a school or an institution that takes part.

Concerns raised privately with the Secretariat or with our Executive Advisor are always welcome and are never treated as a breach of this clause.

8. Changes

Dates, venue, committees, agendas and schedule may change. Any change will be announced publicly and communicated directly to registered delegates. Where a change is significant enough to affect your ability to attend, clause 3.2 governs.
